Privacy Policy
How Commonplace handles the information entrusted to the service.
Effective date: September 30, 2026
This Privacy Policy explains how Commonplace Homeschool, operating Commonplace (“Commonplace,” “we,” “us,” or “our”), handles information when you visit commonplacehomeschool.com, create an account, or use the Commonplace homeschool workspace.
1. Information we collect
Account and contact information
We collect information such as your name, email address, household or workspace name, and login credentials when you create and manage an account or contact us.
Homeschool records you choose to add
You may add student names and profile details, courses, curriculum, attendance, grades, assignments, reading logs, journal entries, events, checklists, uploaded files, and other records. You decide what to enter. Please avoid adding information that is not needed for your homeschool records.
Payment and subscription information
Our merchant of record or payment provider processes purchases and subscription details. We receive information needed to administer your subscription, such as plan, status, transaction identifiers, and billing contact details. We do not receive or store full payment-card numbers.
Technical and usage information
We may collect IP address, browser and device type, pages or features used, timestamps, diagnostic logs, and similar information needed to operate, secure, and improve the service. We use cookies and comparable local-storage technologies for sign-in, preferences, security, and core site functions.
2. How we use information
We use information to provide and personalize the service; save, organize, and export your records; authenticate accounts; process subscriptions; send service, security, and support messages; respond to requests; troubleshoot and improve performance; prevent fraud or abuse; and comply with legal obligations.
We do not use student homeschool records for advertising.
Trial signup and product usage
We use first-party measurements to understand which pages help families get started. We record a random browser-session identifier, the first landing-page path, a broad device category (mobile, tablet, or desktop), and whether the trial page was reached through a website trial link. We use session storage to preserve campaign details as you browse and avoid counting refreshes as new visits. For registered families, we record email verification, completed setup, and the first saved attendance entry, book, assignment, document, or report preview. These measurements do not copy the contents of student work or homeschool records into analytics events.
3. When we share information
We share information only as reasonably needed with service providers that help us host infrastructure and files, deliver email, process payments, provide customer support, monitor reliability, and protect the service. They may handle information only for the services they provide to us and under applicable contractual or legal obligations.
We may also disclose information when required by law, to protect the rights and safety of users or others, to investigate abuse or security issues, or as part of a merger, financing, acquisition, or sale of business assets. We do not disclose private homeschool records to schools or government agencies at your request unless you choose to export and share them, or unless disclosure is legally required.
4. Children’s information
Commonplace is offered to parents, guardians, and other adults managing home education, not directly to children. Adults control the account and decide what student information to enter. If you believe a child has provided personal information directly without appropriate adult involvement, contact us so we can investigate and take appropriate action.
5. Data retention
We retain account and homeschool information while your account is active.
After about one year without account activity, we may send a reminder. If the account remains inactive, we may schedule it for deletion after approximately 21 months of inactivity, followed by at least 90 days’ notice before permanent deletion. We also send reminders as the deletion date approaches. Signing in during the warning period cancels an inactivity-based deletion. Actively renewing paid accounts are not automatically deleted for inactivity.
Unverified registrations may be deleted after 30 days. An expired trial with no student records may be scheduled for deletion with 90 days’ notice; signing in during that period keeps the account.
When deletion is completed, we remove family logins, homeschool records, and uploaded files. We may retain limited transaction records where required for accounting, security, fraud prevention, or legal compliance. Identifying information in our deletion audit log is removed after 90 days, after which an anonymous operational record remains. Deleted information may remain in secured backups for a limited period until those backups expire through their normal rotation.
6. Your choices and requests
You may update information through your account and use available export tools for your records.
The family owner may request deletion from Family Settings. Any renewing subscription is canceled, the family workspace becomes read-only, and permanent deletion is scheduled for 30 days later. During that period, the owner may export the family’s information or cancel the deletion. Canceling deletion does not automatically reactivate a canceled subscription.
You may also ask to access, correct, export, or delete personal information by contacting us. We may need to verify your identity and may retain limited information where required for legal, security, fraud-prevention, or accounting purposes. Depending on where you live, you may have additional privacy rights.
7. Email communications
We send transactional messages needed to operate your account, such as verification, password reset, billing, and important service notices. If we later offer optional marketing messages, those messages will include a way to unsubscribe.
8. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No online service can guarantee absolute security, so please use a strong, unique password and protect access to your account.
9. International processing
Information may be processed in locations where we or our service providers operate. Privacy laws in those locations may differ from those where you live.
10. Changes to this policy
We may update this policy as the service evolves. We will post the revised version here and update its effective date. When appropriate, we will provide additional notice by email or in the service.
